TreeMiles Privacy Policy

a) Information you provide to us

• Waitlist form: work email address, company name, company size, and any message you choose to include.
• Pricing calculator: work email address and the estimate inputs you select (number of employees, event duration, program intensity).
• Contact and support requests: any information you include when you contact us.

We store this information in our own lead database.

b) Information collected automatically

When you visit the Site, we and our service providers automatically collect:

• Device and usage data: IP address, device type, operating system, browser type, language settings, referring pages, pages viewed, time spent, clicks, and scrolling activity.
• Analytics data: we use Google Tag Manager and Google Analytics to understand how visitors use the Site.
• Session recordings and heatmaps: we use Hotjar to record how visitors interact with the Site (mouse movements, clicks, scrolling, and page navigation). Hotjar automatically suppresses keystroke data in form fields. For more information, see Hotjar's privacy policy at hotjar.com/legal/policies/privacy.
• Cookies and similar technologies — see Section 5.

We use the information we collect to:

• operate and maintain the Site;
• manage the waitlist and contact you about the TreeMiles launch, your early-access discount, and onboarding next steps;
• provide pricing estimates through the calculator;
• send marketing communications about TreeMiles (you can opt out at any time — see Section 6);
• analyze and improve the Site, including through analytics and session recordings;
• ensure security, prevent abuse, and enforce our Terms of Use;
• comply with legal obligations.

We do not sell your personal information, and we do not share it with third parties for cross-context behavioral advertising.

We share personal information only with:

• Service providers (processors) that help us operate the Site and communicate with you, such as cloud hosting, our lead database, email delivery providers, and the analytics providers listed in Section 1(b) (Google, Hotjar). These providers may only process personal information on our instructions.
• Legal reasons: when required by law, subpoena, or other legal process, or to protect the rights, safety, and property of TreeMiles, our users, or the public.
• Business transfers: in connection with a merger, acquisition, financing, or sale of assets, personal information may be transferred as part of the transaction, subject to this Privacy Policy.

Depending on where you live (including California, Colorado, Connecticut, Virginia, Utah, Texas, Oregon, Montana, and other states with comprehensive privacy laws), you may have the right to:

• Know / access the personal information we have collected about you;
• Correct inaccurate personal information;
• Delete your personal information;
• Portability — receive a copy of your personal information in a portable format;
• Opt out of the sale of personal information, sharing for cross-context behavioral advertising, and certain profiling (note: we do not sell personal information or share it for cross-context behavioral advertising);
• Non-discrimination for exercising your rights;
• Appeal a refusal of your request (in states that provide an appeal right).

How to exercise your rights: email privacy@treemiles.app with your request. We will verify your identity (for example, by confirming control of the email address on our waitlist) and respond within the timeframe required by applicable law. You may designate an authorized agent to submit a request on your behalf where permitted.

Categories of personal information collected (California notice): identifiers (email address, IP address, device identifiers); professional or employment-related information (company name, company size); internet or other electronic network activity information (usage data, session recordings); commercial information (calculator inputs and pricing interest). Sources, purposes, and disclosures are described in Sections 1–3.

Global Privacy Control: where required by applicable state law, we treat Global Privacy Control (GPC) browser signals as a valid opt-out of sale/sharing. (We do not sell or share personal information for cross-context behavioral advertising.)

The Site uses cookies and similar technologies for essential functionality and analytics. Specifically:

• Google Tag Manager — manages the deployment of measurement tags and loads when you visit the Site;
• Google Analytics — website traffic and usage statistics, which load when you visit the Site;
• Hotjar — heatmaps and session recordings that show how visitors interact with the Site. Hotjar is loaded and starts recording only after you give consent in our cookie banner.

You can manage or withdraw your consent at any time via the "Cookie Settings" link in the footer. You can also control cookies through your browser settings.

Because there is no industry standard for responding to "Do Not Track" browser signals, the Site does not respond to DNT signals. We do honor Global Privacy Control signals as described in Section 4.

If you join the waitlist or use the pricing calculator, we may send you emails about TreeMiles, including launch updates, your early-access discount, and offers. You can opt out at any time using the unsubscribe link in any marketing email or by contacting us at privacy@treemiles.app. We honor opt-out requests promptly, as required by the CAN-SPAM Act. Opting out of marketing does not affect emails we are required to send (for example, responses to your requests).

We retain waitlist and calculator data until our launch communications conclude or until you unsubscribe or request deletion, whichever comes first. Analytics and session-recording data is retained according to the retention settings of the respective tools (Google Analytics, Hotjar) and no longer than necessary for the purposes described above. We may retain limited information as needed to comply with legal obligations or to honor opt-out requests (suppression list).

We use administrative, technical, and physical safeguards appropriate to the nature of the data, including encryption in transit and access controls. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.

TreeMiles is operated from Poland. Your information is processed and stored on servers located in the European Union and, for certain service providers (such as Google and Hotjar), in the United States or other countries. By using the Site, you understand that your information will be transferred to and processed in countries other than your own. Processing in the EU is subject to the EU General Data Protection Regulation (GDPR), which provides a high standard of data protection.

The Site is intended for business professionals and is not directed to children. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, contact us and we will delete it.

We may update this Privacy Policy from time to time — including when the TreeMiles app launches. We will post the updated version on this page with a new "Last updated" date and, for material changes, notify waitlist members by email. Your continued use of the Site after changes take effect constitutes acceptance of the updated policy.
